OfficeWare Expands Relationship with Norton Healthcare

LOUISVILLE, KY – June 11, 2010 – OfficeWare and Norton Healthcare today announced an expanded working relationship which includes a comprehensive Managed Print Services (MPS) program for the healthcare system.
 
The new longer term agreement was announced by Rick Maxwell, CEO of OfficeWare, Joseph L. DeVenuto, system vice-president of Information Services, Norton Healthcare, and George Hersch, system vice president, Material Management, Norton Healthcare.
 
OfficeWare will now assume responsibility and management for Norton’s entire fleet of some 2,000 HP printers and multi-function devices. This is in addition to the current document output responsibilities with the healthcare provider.
 
The new program will be fully implemented on July 1, 2010 and includes deployment of additional OfficeWare staff and field service personnel. Norton’s current staffing will remain unchanged. The savings generated by Norton through this program will be well in excess of $100,000 per year.
 
The adoption of the Managed Print Services program represents a strategic change in how Norton manages its document output technology. While OfficeWare has handled Norton Healthcare’s copy, facsimile and departmental multi-function needs for several years, printers have been handled separately by Norton’s IS Department as part of network infrastructure. Decision making for hardware, service and supplies has remained separate but with the convergence of printing and scanning technologies the decision to consolidate all of these programs with one organization became readily apparent.
 
The one vendor program will provide a holistic approach for Norton’s clinical and departmental needs. In addition to managing the entire fleet of document output devices, OfficeWare will manage the new acquisition of hardware, and provide on-site service and support for all printers on an all inclusive cost-per-impression basis. Norton will no longer need to purchase inventory toner supplies, maintenance kits or parts as OfficeWare assumes those tasks.

The program’s key goals are cost reduction, increased security and sustainability. This includes employment of OfficeWare’s DOC@nalysis process, elimination of redundant devices and a focus on best printing practices.
 
It also includes removal and protection of confidential and critical data on all devices containing a hard disk, a major concern in business today. An on-site attendant program and complete toner recycling approach will also be utilized to help Norton’s commitment to the environment.
 
“Adoption of this approach and program puts Norton at the forefront. Managed Print Services is a hot topic in the industry but few organizations have truly designed a comprehensive program to utilize it to its best advantage. With over 2,000 printers, this will be OfficeWare’s largest single Managed Print Services agreement. We are excited to leverage our people, armed with the most innovative tools, processes and procedures, to help Norton Healthcare reduce costs while maintaining a high level of patient care and end-user satisfaction,” Maxwell said.
 
“Outsourcing the printer responsibility to Officeware will free-up valuable and much needed IT resources,” said DeVenuto.
 
Hersch added, “Having someone look at printers and printing from a total cost of ownership perspective will help us reduce overall spending. The program also adds to a greener environment as newer, more energy efficient devices are added over time combined with a complete recycling program.”


OfficeWare Named Official Document Solutions Firm for KFC Yum! Center

LOUISVILLE, KY -- May 10, 2010 -- OfficeWare, an award-winning provider of document management and print solutions, announced today it has been named the official document solutions firm for the new KFC Yum! Center in Louisville, KY. The firm will provide all of the Center’s copiers, laser printers, wide format printers, and multi-function devices under an OfficeWare Total Care Support plan.
 
The partnership with Louisville Sports and Entertainment Properties (LASEP), the exclusive marketer for the KFY Yum! Center, is for a period of seven years. LASEP is the locally based entity of Learfield Sports which oversees the arena’s advertising and sponsorship sales initiatives.

Katie Couric exposes the risk of hard disk drive security.

Recently, Katie Couric, the anchor of CBS Evening News, did a special report on the dangers and vulnerability a multi-function device’s hard disk drive can cause without your knowledge. If you saw the show, I’m certain it sent chills up your spine. If you didn’t see the broadcast, I’ve attached the link for your reference. The key point is that documents that have been copied, printed or scanned on an MFP may reside on the hard disk drive. Even if deleted, residual data remains on the hard disk drive just like deleted files remain on the hard disk drive of your computer. A person with the right skills and wrong motives may be able to retrieve this data even though it has been deleted. Therefore, taking proper precautions when your MFP leaves your office is imperative. 
 
At OfficeWare, we understand the risk. While there is no one, simple answer, there are many options available to you.
 
   OfficeWare’s removal form provides a reminder to the end-user to delete all data and fax phone numbers from the device before OfficeWare’s delivery personnel remove the unit from the premises.
 
   Upon receiving the returned unit, OfficeWare staff formats the hard disk drive to delete any remaining files. However, this still does not remove the risk of latent images.
 
   To eliminate the risk of latent images remaining on the hard drive at your request, OfficeWare will remove the hard drive from the MFP and use security software to conduct a double overwrite of the entire hard drive for an additional fee of $150 per hard drive. OfficeWare will offer this service when the unit is scheduled for pick-up or move.
 
   Alternatively, you can purchase the hard disk drive from OfficeWare when the machine is picked up and retain it, or purchase the hard drive and OfficeWare will have it securely shredded for you and provide you with certification that the drive was destroyed.
 
   Security options on new MFPs include a hard drive data encryption kit and a data overwrite kit. Both of these options are designed to ensure all sensitive data on an MFP hard drive is either encrypted or permanently erased.

OfficeWare Secures Contract with DMLO in Louisville


LOUISVILLE, KY -- OfficeWare, a leading Louisville-based document technology company, announces they have secured a contract with Deming, Malone, Livesay and Ostroff (DMLO) to provide the certified public accounting firm with a complete managed print services program.
 
DMLO is Louisville’s third largest accounting firm with some 57 CPAs. OfficeWare is providing them with new multi functional printers and other hardware, providing Optimize software to improve efficiencies with machine usage, and providing overall print-related inventory management, service and support. The term of the contract is four years.
 
Bob Daugherty, DMLO’s IT Director, said the accounting firm sought out a document technology company that understood their changing needs and could offer a solution that met the firm’s goal for a high level of service. DMLO reviewed several firms and concluded OfficeWare was an ideal choice.
 
“Officeware has been extremely professional and cooperative. They spent a lot of time introducing their people, explaining their procedures and their approach to managed services,” Daugherty said. “In addition they created the correct pricing model for DMLO and demonstrated they were looking to build a relationship and not simply provide a service.”
